CRM and Accounts Integration

Synopsis:

Post-ERP implementation, we sought to further drive efficiencies through integration of CRM and ERP in several core areas, notably customer account & contact data, and automating the quote to order process to smooth the project handover between Commercial and Operations teams.

Detailed Description:

Using an internal team consisting of myself as project lead, one developer, two systems administrators, one business analyst, and with technical support from key members of the accounting team, we successfully automated the bi-directional transfer of data between Salesforce and NetSuite using the Mulesoft Anypoint Platform.

As Salesforce and NetSuite both had pre-configured connectors on the Anypoint exchange, we were able to drastically reduce the technical workload required to configure the API endpoints and begin sending test data between the respective sandbox environments.

Whilst this was taking place, the BA was responsible for gathering requirements from the commercial and finance teams for the following use cases:

  • CRUD operations automatically generated for customer accounts & contacts

  • Business logic around ‘customer scores’ should be automated, including account freezes based on overdue amounts synced from NetSuite transactional data

  • Automation of ‘quote to order’ process, parsing 000’s lines of data from a bespoke CPQ customisation and mapping into NetSuite Opportunities and Orders.

Once built and tested in the sandbox environments using a partial clone of the data, the connections and Mulesoft configuration was replicated in production prior to go-live, and the Salesforce and NetSuite deployment bundles were issued.

After a brief training session with the staff responsible for triggering the conversion process, we were able to successfully go live with the solution, which led to a significant reduction in handover times from Commercial to Operations due to the reduction in the amount of data entry required, and prevention of human error during the creation of new projects.
